First-Time Voicemail Setup (Model 1020)
Complete this quick setup sequence on Day 1 to initialize your personal mailbox.
- 1. ACCESS Press the physical Envelope (Messages) Key ✉️ on your desk phone.

2. DEFAULT PIN
Enter temporary default passcode
1234, followed by #. - 3. SECURE PIN Follow prompts to type a new secure 4-to-6 digit PIN, followed by #.
- 4. GREETING State your full name when asked, then record your custom voicemail greeting as prompted.
Ongoing Voicemail Management (Model 1020)
Press the physical Envelope button and enter your PIN. Use these key commands while listening:
Call your direct phone number. When your voicemail greeting begins playing, press * immediately. Input your custom secure PIN when prompted to access your inbox.
Log into your voicemail from your phone. From the main menu, press 4 for Mailbox Options, then press 1 to re-record your standard voicemail greeting.
Quick Operations Guide
Transferring a Call
To send an active caller directly to an internal extension or external number:
- While on a call, press the physical Transfer (Xfer) button.
- Dial the target extension number.
- Press Transfer button again immediately to finalize (Blind Transfer), or wait for the target party to pick up to introduce the caller (Warm Transfer), then press the key to complete.
Placing on Hold
Safely place your current caller on standby while resolving other inquiries:
- Press the dedicated physical Hold button (often represented by a pause icon or labeled 'Hold').
- The line indicator will flash red/amber indicating the call is held.
- To resume the call, press the corresponding flashing line button or press the physical Hold button once more.
3-Way Conference
Connect with two separate lines simultaneously into one unified call:
- While on an active call with party A, press the physical Conference (Conf) button. Party A goes on automatic hold.
- Input the phone number or extension for Party B and wait for connection.
- Once Party B answers, press the Conference button once again to bridge all three parties together.

First-Time Voicemail Setup (Model 1040W)
Initialize your executive voicemail using either physical controls or the smart touchscreen interface.
- 1. ACCESS Tap the visual Messages Icon on your screen or press the physical envelope key ✉️.

2. DEFAULT PIN
Enter temporary default passcode
1234, followed by #. - 3. SECURE PIN Follow screen alerts to type a secure 4-to-6 digit PIN, confirm it, and press #.
- 4. RECORDINGS Record your name and choose to record your main Personal Greeting or a separate Out-of-Office Greeting.
Ongoing Voicemail Management (Model 1040W)
Tap the visual Messages icon on your screen. You can browse individual caller names, durations, and recording times directly. Simply tap any entry to listen, skip forward, or touch the Trash Can icon to delete.
Dial your direct desk line. When your greeting starts, press * on your mobile dialer. Enter your secure voicemail PIN and navigate with standard remote prompts.
Go to **Menu** > **Messages** > **Greetings** on the touchscreen to switch between your Standard Greeting and temporary "Out-of-Office" message without needing to delete or re-record either.
Quick Operations Guide
Touch-to-Transfer
Use visual screen elements to execute rapid transfers:
- While on a call, tap the visual Transfer button on the color display.
- Type the target extension on the screen numeric key pad or tap a preset contact.
- Select B Transfer (Blind) or Transfer (Consultative) to route.
Wi-Fi Connection
Model 1040W supports fully wireless local networks:
- Press the physical Menu / Setup button or tap Menu on the screen.
- Go to Basic Settings > Wi-Fi.
- Toggle Wi-Fi to 'Enabled', select your local office network, and input the password using the touchscreen keyboard.
Line Configurations
Manage multi-calls and incoming priority pipelines easily:
- Up to 6 visual touch-lines can be configured directly on the main display screen.
- Drag, hold, or slide touch configurations to change priority or assign quick speed dials.
- Access advanced layouts in the IP settings to map active executive shortcuts.
